Quick start

Start with one team and one practice. You can add more teams and reuse your work as you go.

  1. Set up your team. Choose the sport, ages and usual player count. Add the equipment and space you expect to have.
  2. Pick your next step. Use Agent Chat for advice, Drill library for an activity, or Plan practice for a timed session.
  3. Review, save and share. Check the activities and equipment, make any changes, then share a document link or download a PDF.

Your teams & age groups

Your Teams is where you add and update teams. Team setup gives Coach the sport, age range, attendance, practice length, equipment, space and coaching focus to work with.

  • Use the team control at the top of the workspace to change which team’s documents and calendar you are viewing.
  • Select the actual ages in the group, including teens or adults. For mixed ages, include the full range rather than an average age.
  • Update the usual setup when the season changes. You can still confirm different attendance, duration or equipment for an individual practice.
Do I need to add every player’s name?

No. Team setup uses a player count and age information. You can plan a practice without a roster or individual player profiles.

Agent Chat

Ask a coaching question, work through an idea or find a drill. Be specific about what you want to improve and what happened at the last practice.

  • Choose one to four teams with the team selector in Agent Chat. Teams can play different sports; Coach uses each team’s own sport, ages and setup.
  • Ask for a comparison or separate suggestions when teams need different activities. Choosing several teams in chat does not create a joint practice.
  • Changing the selected teams starts a new chat. The previous conversation stays in Saved chats with its original teams. Wait for a pending reply before changing the selection.

Try asking: “My younger soccer team rushes every pass. Give me one simple cue and two drills for our next practice.”

Does Coach remember everything from older messages?

The full conversation is saved, but only a limited recent portion is sent with a new AI request. Coach also receives the selected team setup, recent confirmed recaps and relevant saved season records. Repeat an older detail when it matters to your next question; do not assume every past message is in the AI’s current context.

Can Coach answer questions about our season?

Yes. Coach can refer to saved practice plans, their drill names and dates, completed practices, calendar events and plans pinned to a week for your selected teams. Try “Which drills have we planned for the Bears?” or “What is scheduled next week?”

A scheduled or past practice is not automatically marked completed. Coach receives a limited selection of relevant records, so include a date or drill name when asking about older work. It does not have game results, attendance or player statistics unless you provide them.

What if a reply fails or takes too long?

Your sent message stays saved. Use Retry reply to try it again, or write and send a new message. You can draft your next message while a reply is running; send it once that reply finishes or fails.

Can I get a short answer or more detail?

Ask directly: “Give me three quick ideas,” “Keep this under five sentences,” or “Explain the setup step by step.” You can follow up on an answer and open a suggested drill for its full instructions.

Saved & archived chats

Use New chat for a fresh conversation. Open Saved chats under Agent Chat to return to earlier work.

  • Open a recent chat to read the transcript and continue it. Load older messages when you reach the beginning of the visible history.
  • A chat with several teams appears in each participating team’s saved history.
  • Archive moves a conversation out of your recent list. The transcript remains in Archived, where you can restore it.
  • Delete permanently removes that conversation after confirmation. Documents saved from the conversation remain separate.

Practice plans & equipment

Choose Plan practice, then confirm the team, date, player count, duration, focus and available equipment. The plan is a timed sequence you can review and edit.

  • When no equipment is saved, practice setup starts with a basic sport-specific preset. Change the quantities to match what you have, or choose No equipment available to set them to zero.
  • No equipment does not prevent a draft. Coach can create a tentative plan and list missing quantities under Equipment to arrange. Arrange that gear or change the activities before using the plan.
  • The plan keeps your actual inventory under Equipment on hand. Needed-equipment notes also appear in shared pages, PDFs and Excel downloads.
  • Review each activity’s setup, teaching cues and safety notes. Add, remove, reorder or replace activities, then save your changes.
What if I don’t know the practice space yet?

You can leave the space description blank while planning. Check the activity layouts before practice: a drill that needs a wall, court markings, a net or a particular layout still needs that setup.

Is every suggested activity guaranteed to suit my players?

Use the age range, equipment requirements and easier or harder variations as a guide. You make the final choice for the group’s readiness, ability and conditions on the day.

Joint practices & copies

Use a joint practice when teams will attend one shared session. Use a copy when they need separate plans.

  • Joint practice: choose two to four teams in the same sport. Coach uses the full age range across them. Confirm the combined attendance, available adults, equipment and session length.
  • The same joint document appears for every participating team. Editing it updates that one shared plan.
  • Separate copy: copy a plan to a team to make an independent draft. Changes to the copy do not change the original or other copies.
  • Related-team links help you move between the shared session and separate team plans. Check the destination team’s setup before using a copied practice.
Why can’t I combine these teams into one practice?

Select teams in the same sport and enter the combined attendance, up to 30 players. Available activities must also fit the combined ages, group size, equipment and supervision. If no suitable plan fits, use smaller practice groups or separate plans. Teams in different sports can still be selected together in Agent Chat for separate advice.

Drills & workouts

The library includes 675 drills and workouts: at least 75 activities for each of soccer, basketball, flag football, volleyball, baseball, softball, tennis and pickleball, plus general workouts.

  • Search by skill or drill name, then use sport, age and setup filters to narrow the results. Coverage includes youth, teens and adults; check each activity’s stated age range.
  • Start with the quick reference. Open a drill for equipment, setup, steps, coaching cues, easier and harder variations, and safety notes.
  • Save favorites for quick access. Save a drill as a document when you want a shareable card.
  • Use General workouts for activities such as walk/jog intervals, dynamic warm-ups, mobility, bodyweight movements and cooldowns. Adapt intensity and duration to the group.
What do the references mean?

References identify coaching and sport resources used to inform the library. They are not endorsements or a claim that the source reviewed your practice plan. Review the activity itself before using it.

Team Calendar & imports

Team Calendar brings practices and games together. It opens in a two-week view; switch to Month for a wider view.

  • Add a practice or game with its confirmed date, time and location. Link a saved practice to an event, or assign a plan to a week.
  • For a repeating event, choose Every week, select the weekdays and set an end date. Individual occurrences can be edited or removed.
  • Calendar link: paste an ICS subscription URL, review the import preview and connect the correct team. Connected feeds can refresh from the same link.
  • File upload: import an ICS file or a CSV schedule. Files are snapshots; upload a new file when the source schedule changes.
Can I import a free Sport Scheduler Pro schedule?

Yes. Download its CSV schedule, then upload it in Team Calendar’s import flow. A Sport Scheduler Pro paid plan is not required for that import. Review the dates, times and team matching before confirming.

Why won’t a calendar link import?

Use the calendar subscription address, usually ending in .ics or starting with webcal://, rather than the league’s ordinary webpage. For CSV uploads, include a Start column or Date and Time columns. The import preview shows what Coach can read before you save anything.

Messages to parents & team

Open Documents → Messages and choose Draft with AI. Select parents and guardians or the team, then provide the facts to include.

  • Date, time and location are optional. Include only confirmed details. Leave a reminder’s logistics blank for a general message; Coach omits missing details rather than adding placeholders.
  • For a schedule change, provide at least one changed detail or a short note. For a team update, describe what recipients need to know.
  • Add a bring list or extra details only when they are confirmed.
  • Coach drafts ordinary, editable text. Review it, then copy it into your usual messaging app or share the saved document.

Drafting does not send a message. You decide when, where and to whom it is sent.

Sharing, PDF & Excel

Open a saved document to share a link or download a PDF or Excel file. You can also share a calendar snapshot from Team Calendar.

  • Links are unlisted and non-indexed. Anyone who receives the link can view it; a link is not a private invitation to one named person.
  • Shared links are snapshots. Later edits to the working document or calendar do not silently change an earlier snapshot. Share the updated version when needed.
  • Revoke a link to stop future access through that link. Copies someone already downloaded remain with them.
  • Use PDF for a readable handout and Excel for session details and activity tables. Account data downloads are a separate JSON export.
What happens when I delete a document?

The document and its saved versions are removed, and its share links stop working. Calendar events remain, but links to the deleted practice are cleared. Separate copies and chat transcripts are not deleted with it.

Coaching tools

Open Tools in the sidebar and choose a helper. Each opens in a popup so you can return to the workspace when you finish.

  • Player rotations: draft turns and playing time using player numbers. Check your competition’s rules and track actual participation separately.
  • Group maker: enter one player per line, choose the number of groups and shuffle. Groups have similar sizes; the tool does not assess player ability. Names clear when you close the popup.
  • Interval timer: set work seconds, rest seconds and rounds. Start, pause, resume or reset it. There is no rest interval after the last round.
Will the timer make a sound or keep running after I close it?

The timer has no sound. Keep its popup open while timing; closing it resets the session. Reset also lets you change the work, rest and round settings.

Account, billing & sign-in

Does creating an account unlock Coach?

Create and verify your account first, then complete the subscription checkout. Your coaching workspace opens after payment is confirmed. If you have not paid, you can still sign in to finish checkout, manage your account or download your account data.

If you cancel, access continues through the paid period shown in Account. After it ends, resubscribe to reopen the workspace before the 30-day retention window expires.

Open Account in the sidebar to view your profile, AI usage, subscription controls and data options.

  • Manage or cancel subscription opens Stripe’s billing portal when available for your account. Choose your subscription there to cancel and follow the confirmation steps. Your account shows the cancellation status and end date when available.
  • Download my data exports your teams, saved chats, documents, drill names and schedules as JSON. It excludes full drill instructions and private calendar subscription addresses.
  • Sign out is available in the sidebar and Account. Signing out does not delete saved work.
What is included in the $19 monthly plan?

Coach includes AI agent coaching help with 500 AI requests per month across Agent Chat, practice plans and parent or team message drafts. The plan also includes the drill library, team calendars, editable documents and sharing tools. Account shows the percentage of your AI allowance remaining and its reset date.

Coach is a separate subscription from Sport Scheduler Pro. Cancel anytime through Account.

How do I sign in?

Use the options offered on the sign-in page: an email and password, or a sign-in link sent to your email. If you request a link, check spam or junk and use the most recent message. Password sign-in includes a reset option.

What happens to my saved work after I cancel?

A scheduled cancellation does not delete your work immediately. After the subscription actually ends, your account and coaching data are kept for 30 days. Account shows the exact deletion deadline. Resubscribe before that deadline to keep your teams, chats, documents and schedules; signing in alone does not extend the window.

If you do not resubscribe in time, your account and coaching data are deleted. Download anything you want to keep first. You can also delete the account earlier after your subscription ends, using a recent sign-in.

Are news and promotional emails optional?

Yes. The signup checkbox for news, tips and promotions about Coach and Sport Scheduler Pro starts unchecked and is separate from the required Terms of Service and Privacy Notice acknowledgment. You can use Coach without opting into marketing.

In Account, change the checkbox under Email updates and choose Save email preference, or use the unsubscribe option in a marketing email. This preference covers email about both products; it does not connect their accounts.

Is anything kept after account deletion?

Billing records required by law may remain. If you explicitly opted into news, tips and promotions about Coach and Sport Scheduler Pro, your email address and consent record remain until you unsubscribe. Your coaching workspace is still deleted. The Privacy Notice explains the separate backup window and limited records used to honor deletion requests.
